Data Protection Act

In order to run the NAM2008 registration and abstract systems we need to ask you for some personally identifying information, such as name, address, and email address. This information is used to let us keep track of registrations, manage abstracts, and provide services such as the Conference Dinner and wireless network access.

The information you provide to us using the NAM2008 website, or via email, will be stored in a secured database hosted within the Astrophysics Research Centre at QUB, with access resticted to those staff who are involved in the organising of relevant parts of the conference. Information will not be shared with third parties with the following exceptions:

  • The RAS may be asked to confirm the membership status of delegates who indicate they are members.
  • QUB Information Services will require identifying information (such as name, affiliation, and email address) for delegates who register to use the Campus WiFi or Windows network. This information will in turn be stored in accordance with QUB DP policy.
  • If you submit an abstract to NAM then we will need to inform the session convenors of the content and authors.
  • Similarly, if you consent to your abstract being submitted to the NASA ADS then the relevant details (author names, affiliations) will have to be passed to the ADS.

All submitted data will be securely disposed of once our administration tasks relating to the conference are over, and your registration fees have been paid.
